How Much Does AI Automation Cost for a Small Business?
AI automation pricing is confusing because vendors deliberately blur "AI tool" and "AI system." Here is the real cost structure for a small business, in tiers.
Tier 1: AI tools you subscribe to
$20 to $100 per month.
ChatGPT, Claude, Gemini, and AI features inside software you already use. These handle drafting, summarizing, research, and internal assistance. For a solo operator or a small team, this is often enough, and the main cost is learning to use them well.
These tools assist a person. They do not run a process. When someone quotes you "$99 a month for AI automation," it is usually this tier with automation branding.
Tier 2: A built AI system for one job
$2,000 to $5,000 to build, plus $50 to $200 per month.
One AI system with one role: after-hours reception, lead qualification, or a website assistant connected to your real business information. The build cost is in the configuration and connections: your services, your calendar, your phone system, your rules for when a human takes over.
Tier 3: Connected AI systems
$5,000 to $15,000 to build, plus $200 to $500 per month.
Multiple AI functions working together across channels, connected to your CRM and reporting. This tier is for businesses with meaningful lead volume where the math is obvious. Most businesses do not need to start here.
What moves the price
- Voice versus text. Phone-answering AI costs more to build well than text AI.
- Connections. Every system it must touch (calendar, CRM, invoicing) adds build time.
- Accuracy requirements. An assistant that drafts emails you review is forgiving. An agent that quotes prices to customers must be constrained carefully, and that care costs.
- Who maintains it. Monthly maintenance is either included or billed. Ask.
The comparison that matters
Cost means nothing without the return side. An agent that recovers missed calls worth $2,000 a month against a $200 monthly cost is a bargain at ten times its price. A $99 subscription that saves you nothing is overpriced. The savings math is in How Much Money Can Business Automation Actually Save a Small Business?
The budget advice
Start with tier 1 tools to build your own fluency, and invest in one tier 2 build on your biggest bottleneck. Prove the return with numbers, then decide about tier 3. Most businesses never need to go further.
The red flag
Any quote that arrives before anyone has asked about your call volume, lead value, and current process. It is a guess with a margin built in. The vetting questions are in How to Choose an AI Automation Company.
For a number specific to your business, our free process audit estimates what fixing your biggest bottleneck would cost, and tells you plainly if cheap tools would cover it instead.
