How to Tell If an AI Tool Is Actually Worth Paying For

October 5, 2026AI for Small Business

AI subscriptions are easy to start and hard to cancel, especially when you cannot tell whether they are doing anything. Here is how to evaluate any AI tool in an afternoon.

The math first

Before the trial, write down two numbers: what the tool costs per year (subscription plus the time to use and maintain it), and what it saves or earns per year (hours times your hourly value, plus recovered revenue).

A tool is worth it if the second number clearly exceeds the first. "It's cool" is not a line item. If you cannot estimate the savings yet, that is what the trial is for, and you should not subscribe before the trial proves it.

The trial checklist

Run the tool against your real work, not the demo data:

  1. Does it work on your actual messiest inputs? The demo always uses clean examples. Feed it your weirdest real case and see what happens.
  2. How much editing does its output need? An AI draft you fully rewrite saves nothing. Time the editing honestly.
  3. What happens when it is wrong? Try to make it make a confident mistake. If wrong answers are hard to notice, that is a serious risk for anything customer-facing.
  4. What does it connect to? A tool that saves an hour but requires retyping its output elsewhere gives back half the hour.
  5. Who maintains it? For anything business-critical, know who fixes it when an update breaks something.

The questions about the vendor

  • What happens to your data, and is it used to train anything?
  • Is the "AI" doing real work or repackaging a simple template with AI branding?
  • What does support cost after the first incident?

Red flags

  • Pricing that scales by seats when your usage is by volume (or vice versa, without a sensible tier)
  • "AI-powered" claims with no way to see what the AI actually does
  • Annual-only pricing on a product you have never trialed
  • Testimonials with no numbers

The verdict categories

  • Clear keep: saves multiples of its cost in measured hours or recovered revenue.
  • Keep cheaply: useful but only at the basic tier; downgrade the plan.
  • Cancel: you have used it twice this month. That is the honest answer for a surprising number of subscriptions.

A note on the bigger builds

This method works for subscriptions. For custom AI systems, the evaluation is the same math with bigger numbers, and the measurement happens against a baseline you set before the build. Both are, walks through it in [ How Much Does AI Automation Cost for a Small Business?

If you would rather have the recommendation come from your actual numbers, our free process audit identifies which tools or builds would pay for themselves in your business, and which would not.
